Our privacy policy outlines how we collect, use, and process your data, as well as your rights in this regard. We emphasize that the use of your information is carried out in strict compliance with the law and this policy. Certain personal information is essential for us to provide our services.
Scope of this Policy
This policy applies to all personal information that Alygra, or any person acting on our behalf (e.g., consultants or recruitment partners), may collect in the course of its activities. This includes, but is not limited to, information concerning:
• our clients and their employees;
• our partners and collaborators (e.g., members of the Alygra Collective, independent consultants);
• our suppliers;
• candidates involved in recruitment processes;
• and any other person interacting with Alygra.
Personal information may be collected through our website, digital channels (e.g., emails, online forms, social media), or during any other interaction you may have with us (in-person meetings, phone calls, professional events, etc.).
Definition of Personal Information
Personal information is defined as any information that can identify an individual, either directly or indirectly. This includes, but is not limited to, elements such as name, contact details, or email address.
Personal information is confidential. Its confidentiality stems from the right to privacy, allowing every individual to exercise control over the use and circulation of their information.
Personal information is considered sensitive when it gives rise to a high degree of reasonable expectations of privacy due to its nature or the context of its use (e.g., medical, biometric, or otherwise intimate information).
Collection of Personal Information
Alygra collects your personal information directly from you when you communicate or interact with us, for example:
• Your contact details: name, email address, mailing address, date of birth, phone number — provided when you submit an inquiry, during a consulting or recruitment engagement, or when you contact us through our website, by email, phone, or social media;
• Your communication preferences and any correspondence you send us;
• Information collected offline (e.g., postal mail, in-person meetings, documents submitted as part of a recruitment or consulting process).
In some cases, we may also collect personal information from authorized third parties (e.g., professional references, service partners, or recruitment platforms), with your prior consent or as permitted by law.
Use of Personal Information
Alygra collects and uses personal information solely for the following purposes:
• To provide our human resources consulting, recruitment, strategic advisory (“People & Growth”), and marketing and communication services to clients;
• To respond to information requests or follow-ups from our clients, partners, or candidates.
Information collected in the course of recruitment, HR coaching, or consulting engagements is retained for a maximum of two (2) years after the end of the engagement, in order to manage any necessary follow-ups.
After this period:
• Digital files containing personal data are deleted from our systems;
• Paper versions are securely destroyed (shredding).
If you apply for a position through Alygra (as part of a recruitment mandate for one of our clients), your personal information will be used exclusively for recruitment and human resources purposes related to that mandate, and will not be retained beyond the period strictly necessary for the process.
Sharing of Personal Information
Alygra may make your personal information available to third parties or service providers for the purposes set out in this policy. Alygra does not sell, rent, or trade your personal information to third parties.
We may, however, share your information in the following cases:
Partners and Clients: In the context of a recruitment or consulting mandate, Alygra may share certain information with its clients or partners (e.g., employers, HR partners, or associated experts) only when necessary to deliver services and always with your consent or as authorized by law.
Service Providers: We may engage service providers (affiliated or not) to perform certain tasks on our behalf, such as independent consultants, technology experts (secure hosting, HR software, applicant tracking platforms), or communication partners. These providers only have access to the information necessary to perform their services. They are not authorized to use it for other purposes or to disclose it to third parties. Such sharing is governed by contractual agreements.
Your Consent and Right of Withdrawal
Personal information cannot be collected, used, or disclosed without your consent, except as permitted by law. You may withdraw your consent at any time, subject to legal or contractual constraints and reasonable notice.
⚠ Withdrawing your consent for purposes essential to the delivery of our services (e.g., recruitment or HR management) may limit our ability to provide those services.
Security of Personal Information
Alygra implements simple yet effective measures to protect personal data:
• Data is processed using secure tools (Google Workspace with two-factor authentication);
• Access is restricted to authorized Alygra team members and contractors bound by confidentiality agreements;
• No personal data is stored on unsecured computers or transmitted by unsecured means.
All employees, consultants, or subcontractors with access to this data receive training on privacy best practices and sign a confidentiality agreement.
Access and Correction
